Together, we build customized (and beautiful) data tools and strategies to make their work easier and more impactful. Our primary tool is Salesforce, and we work with clients to not only migrate their data and improve data management, but to make sure that what they measure is actually driving growth and impact.


We’re now in our sixth year, and by the time you start we’ll have 17 full-time team members across the U.S. and Puerto Rico.

your role

The Executive Assistant will be responsible for helping OpenTent run as fast and smoothly as possible. This person will proactively manage leadership communication, sales pipelines, and team needs to make sure nothing falls through the cracks. This role will call on a big-picture understanding of OpenTent’s vision and mission, paired with a nitty-gritty understanding of how the day-to-day pieces fit together.

To be successful in this role you will need to be extremely comfortable - happy, even - in creative, fast-moving environments. The opportunity to help us build something big and impactful is real, and you will be at the heart of that. We know the perfect person may not yet feel confident in all of the areas we’re looking for, and we’re willing to help the right person grow. We hope this person will become an integral part of the team, and will move up after 1-2 years in this role.

The Executive Assistant is…

  • A can-do person who turns requests around quickly.

  • A very strong writer - able to quickly draft effective communication in both long and small form.

  • Comfortable handling complicated and often ambiguous projects and creating new solutions.
  • Willing to roll up your sleeves to get stuff done.
  • Psyched about taking on “small” tasks since you understand how they enable the big ones.


The Executive Assistant will:

  • Free up OpenTent’s co-owners to focus on the big picture.
  • Manage inboxes, calendars and tasks for Sam and Kayleigh, our co-owners, ensuring that communication moves smoothly and nothing falls through the cracks. This includes writing emails as requested by Sam and Kayleigh and scheduling meetings with external partners.
  • Coordinate travel for Sam and Kayleigh, and occasionally for other teammates.
  • Take on personal tasks for Sam or Kayleigh as needed.
  • Prepare company communications, as directed.
  • Organize digital files for quick access and ease of use.
  • Anchor our Sales Logistics
  • Track our sales pipeline so that we’re able to pursue leads, follow up after the right length of time, and hand off completed contracts to the delivery team.
  • Conduct research on prospective clients. Help us do reconnaissance on new organizations, competitors, and markets.
  • Edit and send OpenTent’s contracts for digital signature.
  • Create, send, and follow up on OpenTent’s client invoices.
  • Support our Relationship Management
  • Help set culture by identifying ways to support positive team dynamics and delivering on those intentions (help plan trips and retreats, deliver team surprises, etc.).
  • Proactively find ways to strengthen OpenTent’s relationships with clients, staff, and other stakeholders by sending cards or gifts, or prompting team members to follow up on relationship milestones (birthdays, project anniversaries, etc.).

As the Executive Assistant develops comfort and efficiency with the tasks above, they may take on the following responsibilities:

  • Maintain our online brand presence. In collaboration with other teammates, execute our communications strategy via our social media accounts, blog, and LinkedIn page.
  • Support our HR and Operations. Acquire all necessary company equipment and swag. Support hiring by screening resumes and conducting first-round interviews.
  • Support our external partner relationships. Negotiate and keep track of vendor contracts.


  • Sam and Kayleigh have deep trust in your ability to keep things moving, prioritize, and make sure nothing falls through the cracks, so they can focus on company priorities.
  • Our sales pipeline is up-to-date and we’re able to use relationship notes to reach out and follow up to convert new business and expand our community.
  • OpenTent is known to clients, teammates, and other stakeholders for its warmth and care, which is enabled by your attention to finding and delivering on opportunities to delight.
  • Over time, you develop comfort with the role and expand your portfolio to take on responsibility for communications, HR and operations, and/or invoicing and contracting.
  • We’re having regular conversations about how you’d like to grow as a professional.

Compensation for an Associate-level role at OpenTent begins at $60,000/year, with a raise to $65,000/year or $70,000/year after one year of service, depending on performance. The Executive Assistant will be eligible for all of the great benefits offered to full-time OpenTent employees, including excellent no-premium healthcare, unlimited PTO, 401k matching after one year of service, team retreats, paid parental leave, continued professional development, and much more.
